School Administrative Assistant

JOB DESCRIPTION

This job involves a wide variety of clerical and secretarial duties. This includes organizational skills for daily office operations and regular coordination of school events and activities. There will also be daily collaborative work with the school’s Head Teacher and Academic Coordinator.  Positive public relations and communication skills are imperative as this job deals with families, students and the general public on daily basis.

This job runs concurrent with the school year and is part-time (29 hour/wk)

Experience

Must have a high school diploma or G.E.D certificate and at least two years of increasingly responsible clerical/secretarial experience involving frequent contact with the public.

Must have experience with Microsoft Office: Word, PowerPoint, Excel and Access and some background with QuickBooks and/or other accounting software. Mac, PC and Ipad experience a plus.

Duties and responsibilities

Be a daily ambassador for Zion Lutheran School in spirit, word and deed. 

Organize, coordinate and schedule a variety of office activities to assist school administration; prepare a monthly budget report for Board of Parish Education (BPE) meetings; maintain records and files related to the students, staff, budgets/school expenses, operations and activities.


Secretarial responsibilities such as preparing the weekly school newsletter, helping to maintain the school website and calendar with current information, receive daily mail from church secretary and route to appropriate receiver.

Seasonal uniform check-out in the fall and check-in in the spring and filing of deposits.

Answer phones; be familiar with and provide information for calls and questions concerning current school events, policies, procedures, activities and schedules as appropriate. Be prepared to respond to questions related to school payments, balances, charges, inventories (performed every spring) and other information.

Book keeping responsibilities: Must be able to verify proper and authorized use of designated funds and credit card use and will be responsible for bank deposits for chapel and other school accounts.


Become proficient with the use of our school system, Sycamore Education, in order to collect, compile and organize a variety of data related to enrollment, files, logs and communication in the form of batch text and batch email.

Be a part of administering first aid to ill and injured students; contact the all-schools nurse if aid is needed, contact parents or public safety agencies as appropriate. (Biennial CPR classes are required)

Register, release or transfer students; complete and file enrollment information.

Will be trained to operate a variety of business equipment including iMac Desktop Computer, calculator, copiers and other school/office machines.

At the end of each school year, following inventory and ordering, you will receive, store, and distribute school and office materials. 


Provide clerical/technology assistance to faculty and staff as needed, coordinate information with faculty to help schedule field days, and also send out parent-teacher conference sign up sheets to prepare final list for teachers (this is a shared responsibility with Academic Coordinator).

Collect non-faculty hours for payroll every 4 weeks and submit to church treasurer.

Lunch program coordinator: Call lunch count in to public school daily, data entry, accounts receivable, accounts payable, and yearly state training via video. Work with the public school lunch coordinator.

Assist committee and fundraising chairpersons before, during and after events.

Help students and faculty set up for home sporting events.

Perform other duties as assigned

Maintain regular and dependable attendance. Family issues, personal illness and self care is always priority for a balanced and happy work experience. Please communicate to the Academic Coordinator as soon as you are able if you are unable to be at work.
